C. Equipment Maintenance

1. Purpose

This procedure ensures that every piece of equipment critical to worker safety and fabrication quality is maintained at a high level of functional performance.

2. Definitions

Term Definition
Equipment Maintenance Log (Form ML1) A log of completed maintenance tasks recorded by maintenance staff.
Equipment Maintenance Plan (EM1) A form documenting the required maintenance tasks for a particular type of equipment, maintained in the Maintenance Office.
Maintenance Task List (Form MT1) A detailed step-by-step description of individual maintenance tasks listed by equipment type.

4. Responsibilities

  • 4.1 Quality Control Manager: Responsible for reviewing and approving this procedure.
  • 4.2 Shop Foreman: Responsible for ensuring equipment maintenance is performed and that the list of equipment requiring maintenance and the log of maintenance tasks performed are current.

5. Quality Records

Unless otherwise noted, all Quality Records follow the Seacoast "Policy for Maintenance of Quality Records" documented in the QCM Quality Control Plan (Section A-page 13)

  • 5.1 Equipment Maintenance Plan (EM1): Binder located in the Maintenance Office containing all required maintenance tasks by equipment type.
  • 5.2 Maintenance Task List (Form MT1): Individual maintenance tasks listed by equipment type in the Equipment Maintenance Plan (EM1).
  • 5.3 Equipment Maintenance Log (Form ML1): Binder containing log forms completed by maintenance staff for maintenance performed.

6. Documentation

6.1 Equipment Maintenance Plans

An Equipment Maintenance Plan Form (Form EM1) shall be completed for each type of equipment considered critical to worker safety or fabrication quality. The Equipment Maintenance Plan shall include:

  • Equipment Type – a class of equipment to which the listed tasks apply.
  • Description – a list of specific tools or equipment included in the maintenance plan.
  • Location of listed equipment (i.e. shop, field, storage, etc.)
  • List of documentation available on specific tools or general equipment types, as well as the location of such documentation.
  • A list of maintenance tasks, including inspections, to be performed. Each task listed shall include:
    • A unique Task Number corresponding to a Maintenance Task List task (Form MT1)
    • A brief description of the task to be performed
    • The frequency at which the task shall be performed, listed in days
    • Personnel – type of worker required to accomplish the task (in-house or contract)
    • The number of personnel required to accomplish the task
    • Equipment Condition – whether the equipment should be operational or locked out
    • Estimated time in hours to complete the task
    • Special tools or materials needed, or remarks concerning the task

6.2 Maintenance Tasks

Each maintenance task for that type of equipment shall be documented in the Maintenance Task List. The tasks listed shall include a unique maintenance task number and a complete step-by-step description of how the task shall be performed when required. All maintenance shall follow the manufacturer's specifications and industry standards.

6.3 Equipment Maintenance Log

When performed, each maintenance task shall be documented in the Equipment Maintenance Log (Form ML1). The tasks logged shall include:

  • A brief description of the task
  • The date the task was performed
  • The hours or miles listed at the time the task was completed
  • Any comments regarding the task
  • The completion status of the task

Upon completion, reminders shall be set for the date the next scheduled maintenance is due.

6.4 Handling, Preservation, and Storage

  • Equipment shall be stored in such a way as to minimize damage and deterioration.
  • Care shall be exercised during use to ensure the proper handling and use of equipment.
  • When equipment is broken or unsafe for workers, the shop foreman or their designee shall follow lockout tagout procedures.

6.5 Miscellaneous Equipment

Miscellaneous tools and equipment shall be repaired or replaced as needed.
